ScoutingPlanner.com provides a comprehensive suite of features that promote improved communications and reduce the effort to manage a scout unit. These features include:

Award Planning and Tracking Roster Management


  • Comprehensive listing of all award requirements
  • Leaders and/or parents can mark off requirements that have been completed by their scouts
  • The system automatically determines whether a scout has completed the requirements for an award, based on the requirements that have been completed.
  • The system automatically creates a "shopping list" for awards, prior to an awards ceremony
  • The system creates an award "presentation list" for an awards ceremony
  • Scout leaders can create an advancement plan for their unit, indicating which requirements will be completed during the course of the year, and at which events. This plan can also indicate which requirements must be completed independently by scouts, and by what date.
  • Parents can override the advancement plan created by scout leaders, to reflect the requirements and awards that their scout(s) plan to complete during the year.
  • The system generates automatic reminders about requirements in the advancement plan that have not been completed as of the projected completion date.
  • The system automatically determines whether the completion of the advancement plan will be sufficient to earn the anticipated awards.


  • Maintain a list of sub-units (such as Dens), and their current level (for Cub Scouts: Tiger, Bear, Wolf, Webelos I, or Webelos II. for Girl Scouts: Daisy, Brownie, Junior Girl Scout, Girl Scout)
  • Create a contact list of all scouts and adults associated with the unit. This information is available ONLY to people in your unit (see the Privacy policy for more information).
  • Contact information can include address, phone numbers (home, work, and mobile), and e-mail addresses (home and work).
  • Each person can update their own contact information, and can decide how much information to enter.
  • Parents can update contact information about everyone in their family
  • Everyone in your unit can send e-mails to all scouts, adults, or leaders in the entire unit (such as as Pack or Troop) or a portion of the unit (such as a Den). They can also send e-mails to individuals.
Event Planning Communications


  • Supports entry of comprehensive information presented about each event, including the date/time of the event, the location, a description of the event, who is responsible for organizing the event, and a listing of award requirements that will be covered during the event (if any)
  • Each user sees a customized view of the events that are applicable to them. Parents with two children in different dens, for example, will see the events for both children.
  • Event organizers can instantaneously update information about their event on the web site
  • Anyone can easily send an e-mail to an event organizer to obtain additional information about the event
  • Event organizers can generate an e-mail to all event attendees whenever any information about the event changes


  • A customizable public web site provides information to your community about your scouting unit. This can be used as a recruiting tool.
  • The system generates e-mail reminders on a periodic basis about upcoming events and activities that need to be completed at home.
  • Each person can configure the frequency and content of their reminder messages. Reminders can be generated daily, weekly, or monthly. Users can specify how many days in advance to receive reminders. Users can specify whether to generate reminders about meetings and/or activities that need to be performed.
